Run construction sites with Dolibarr: the complete method

Site tracking, subcontracting, site logbook, document compliance: Dolibarr can replace 3 daily construction tools.

Run construction sites with Dolibarr: the complete method

Construction's scattered tools: why consolidate

A typical construction SMB uses 3 to 6 different tools per site: Excel for timesheets, a Drive for URSSAF certificates, another Excel for budget vs actual, a paper logbook, and a calendar for technical inspections. Each tool is isolated. The site manager spends two hours a day cross-checking. Centralising in Dolibarr with DolicraftBTP removes these frictions and gives real-time profitability per site.

  • 3 to 6 tools per site on average for construction SMBs
  • 2h/day of cross-checking for site managers
  • No real per-site profitability view
  • High regulatory risk on document compliance
  • Centralisation = real-time visibility and auto compliance

Modelling a construction site in Dolibarr

DolicraftBTP adds a site card to Dolibarr: label, client, address, planned start/end dates, total budget, status. Each site becomes a first-class entity to which you attach hours, materials, subcontractors, invoices and incidents. Budget vs actual progress is computed real-time via a coloured progress bar. You instantly see drifting sites and can act before results become unrecoverable.

  • Complete site card: client, dates, budget, status
  • Real-time budget vs spent tracking with colour alert
  • All operations attached to a site
  • Optional map for territorial view
  • Centralised site documents (plans, permits)

Timesheet via weekly grid

Site timesheets are the number one stake. DolicraftBTP offers a visual weekly grid with workers as rows and days as columns. Each cell lets you enter hours (with configurable 0.25h, 0.5h or 1h rounding), select weather, and add a task description. This interface works on tablet or phone, ideal for on-site entry. Hours automatically feed the labour cost computation of the site.

  • Weekly grid workers × days
  • Configurable rounding (0.25h, 0.5h, 1h)
  • Weather and task description
  • Tablet-ready interface for on-site entry
  • Auto labour cost computation per site

Subcontracting and document compliance

The riskiest construction topic. You must collect and keep up to date for each subcontractor: URSSAF certificate, insurance certificate, business registry extract, VAT declaration. Each document has an expiry date, and a URSSAF audit at your subcontractor can come back to you for joint liability. The module tracks each document with colour codes: green (valid), orange (expiring soon), red (expired). A cron sends a weekly recap email of documents to renew. This automation alone removes a major legal risk.

  • Per-subcontractor tracking: URSSAF, insurance, registry, VAT
  • Validity colour code (green/orange/red)
  • Weekly cron for document follow-up
  • Centralised scanned attachments
  • Removes URSSAF joint-liability risk

Site logbook and client reporting

The site logbook — that paper notebook on every site — becomes digital with DolicraftBTP. Each entry is dated and typed (note, incident, delivery, visit, weather event). You log weather, temperature, worker count and description. The chronological view offers a site narrative consultable any time, and exportable as PDF for client handover at end of site. This traceability is also an asset in disputes: written proof of conditions, incidents, deliveries, visits.

  • Typed entries: note, incident, delivery, visit, weather
  • Chronological site view
  • PDF export for client reporting
  • Written evidence in case of dispute
  • Photos attached to each entry
