Online invoice payment: get paid faster with Dolibarr

A payment link on every invoice and quote, with payments recorded without re-entry: the method to shorten payment times with Dolibarr and ease your cash flow.

Why the payment method slows down your collections

An invoice sent by email, an IBAN to copy, a transfer to key into the banking app: each step is a chance to put it off. The customer is not refusing to pay. They postpone because the task takes time. A payment button placed in the invoice removes that friction. The customer clicks, pays by card or direct debit depending on what you offer, and it is done. For an SME, the effect shows in cash flow: fewer invoices left hanging, fewer reminders to write, fewer awkward calls to customers. Dolibarr handles this process through its online payment module, which relies on external payment providers. The principle is simple: Dolibarr generates a payment page linked to a document, the provider collects the money, and Dolibarr receives the confirmation. What remains is to configure it properly and check every link in the chain before opening it to your customers.

Enable online payment and choose a provider

The starting point is to enable the online payment module in Dolibarr's module list. You then choose the provider or providers you want to offer, based on your country, your customers and the payment methods they use. A Belgian or Luxembourg customer does not necessarily have the same habits as a French one, and that matters in your choice. Each provider requires a merchant account opened with them, with access keys that you enter in Dolibarr's configuration. Always start in test mode, with the test credentials supplied by the provider. Switch to live mode only once the full process has worked. Fees and conditions depend on the provider: read them before deciding, because they weigh on your margin. If you are unsure about the setup, our team can do it with you as part of a Dolibarr implementation.

Place the payment link on invoices and quotes

Once the provider is configured, Dolibarr can produce a payment address specific to each document. This address is secured by a token, so a customer cannot guess the address of another invoice. You can send it in several ways: from the document page, through the email sending feature, or directly in the message template. The best option is to insert the address in the standard email text you use to send invoices, so nobody has to copy it by hand. For quotes, the benefit is different: you can request a deposit at the time of acceptance, which secures the order from the start. This suits services where you commit time or purchases before delivering. Run a test on a real document of low value, in test mode, and look at what the customer sees: the label, the amount, the reference. Everything must be clear so that they pay without asking questions.

What Dolibarr records when the customer pays

The main gain comes after payment. When the provider confirms the payment, Dolibarr can create the payment attached to the invoice and show it as a payment received, with no re-entry. The invoice then moves to the paid status if the amount covers the balance. Your accounting team no longer has to hunt through a statement to see who paid what. The payment is assigned to the bank account you named in the configuration, which then makes bank reconciliation easier. One point to watch: the provider's payout to your account often arrives in a single transfer, grouping several payments and deducting fees. Plan how you will handle the gap between the recorded payments and the line that appears on the statement. Define the rule once, with your accountant, and write it down so that everyone does not do it their own way.

Checks to run before opening to customers

A badly set up automatic payment creates more work than it saves. Before going live, go through a few specific points, ideally with a real end-to-end test case.

  • Make a complete test payment and check that the payment appears on the invoice, with the right amount and the right bank account.
  • Test a partial payment and a declined payment, to see how the invoice and the error messages behave.
  • Check that your Dolibarr's public address is reachable over HTTPS, otherwise the provider's confirmation will not come back.
  • Check the text of the sending email: the payment address must be present and clickable on mobile.
  • Limit the rights of users who can change the configuration, because it contains your access keys.

Complete the setup: QR code and reminders

The payment link does not cover every customer. Some prefer a bank transfer, especially for large amounts. For them, adding a payment QR code to the invoice PDF makes entry in the banking app easier. This is the role of the DolicraftQR module, which places a SEPA QR code on your invoices. Think about what follows too: an unpaid invoice should trigger a reminder, and that reminder should include the payment link so the customer has nothing to look for. If you want to frame the whole chain, from issuing to collection, read our guide to automating your invoicing. The goal is a continuous process: the document goes out, the customer pays by the method that suits them, Dolibarr records it, and only real exceptions land on a person's desk.

Your next step

Pick a standard invoice and a customer who usually pays on time. Enable the module in test mode, make a complete payment, then check the invoice, the bank account and the email received. Note each gap, fix it, and start again. Once the process is clean, open it to a small group of customers before extending it to all. If you would rather not spend your evenings on it, we can configure it, test it and train your teams. Describe your situation through the contact page: we will look with you at the right provider, the email templates and the accounting handling of payments, then put the setup into service on your instance.
